Executive Assistant

Summary

Function Health is a venture-backed health technology company focused on helping people live 100 healthy years by using technology to prevent avoidable illness and death. The Executive Assistant will support the Chief Technology & Product Officer and VP of Engineering to keep leadership operations running efficiently through scheduling, communication, travel, and team support. The role also contributes to culture-building by helping plan offsites and set up co-working spaces as the company scales.

What you'll do

  • Manage complex calendars and schedules for the CTPO and VP of Engineering, including scheduling meetings and resolving conflicts.
  • Coordinate with internal and external stakeholders to arrange executive commitments and meeting logistics.
  • Handle correspondence and coordination on behalf of executives (email, Slack, sync requests), screening and prioritizing incoming communications.
  • Act as a liaison between executives, other leaders, board members, and external partners.
  • Arrange business travel itineraries (transportation, accommodations) and support agendas.
  • Prepare documents for board, executive, and team meetings.
  • Collaborate with other executive assistants to plan offsites and set up co-working spaces.
  • Prepare reports, presentations, and other administrative documents.
  • Manage and maintain records and administrative systems.
  • Support team offsites, company events, and special projects as assigned.

Requirements

  • 5+ years of Executive Assistant experience, preferably supporting technical executive leaders in a fast-paced or startup environment.
  • Exceptional organizational skills with the ability to manage multiple priorities under pressure.
  • Strong written and verbal communication skills with meticulous attention to detail.
  • High emotional intelligence and discretion.
  • Proficiency with Google Workspace, Slack, Zoom, and other productivity tools.
  • Google Calendar mastery.
  • Ability to work independently, anticipate needs, and solve problems quickly; comfortable working through ambiguity.
