Receptionist

Summary

LittleStar ABA Therapy is seeking an experienced Receptionist to support patients, families, visitors, and staff at the center. The role provides front-desk coverage and a broad range of administrative, clerical, and office support to ensure efficient daily operations.

What you'll do

  • Provide front desk coverage and greet, direct, and assist visitors; ensure visitor sign-in.
  • Answer and route phone calls; take/retrieve messages and announce arrivals.
  • Provide callers with general information (address, directions, fax numbers, website, and related details).
  • Handle mail and postage responsibilities (USPS, FedEx, UPS) for the Carmel Center.
  • Receive, stock, and distribute supplies; maintain waiting area/lobby materials and keep conference room stocked and tidy.
  • Perform clerical duties including photocopying, faxing, filing, collating, and scanning patient data as needed.
  • Notify Scheduler of patient absences or delays.
  • Maintain medication logbook and update appropriate staff regarding changes.
  • Manage the Emergency List.
  • Prepare and maintain telephone directory and other center databases.
  • Provide administrative support to clinical staff, including composing routine correspondence to parents, vendors, and therapists.
  • Assist with planning special events as requested.
  • Support minor repairs around the center by coordinating with outside support/contractors when necessary.
  • Provide coverage when the other Receptionist is absent (vacation, sick, etc.).
  • Advise Center Leadership of issues to ensure orderly and efficient administrative operations.
  • Maintain Learner At A Glance Binder and Learner Folders.
  • Maintain confidentiality per company policy and HIPAA Privacy Rule regulations; promote positive culture, communication, respect, and teamwork.
  • Perform other duties as assigned by the Site Operations Manager or administrative staff.

Requirements

  • High School diploma or GED required.
  • Strong verbal, written, and oral communication skills.
  • Strong computer skills with Microsoft Office proficiency.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to make a positive impression on staff and visitors; professional appearance.
  • Must successfully pass criminal history, background, record, and driving history checks.
  • Must wear appropriate PPE as provided/required (e.g., masks) for illness-related precautions.
