Summary

The Executive Assistant provides high-level administrative support to an executive and division team to ensure smooth daily operations, effective communication, and efficient schedule and document management.
What you'll do
Compose routine executive correspondence and communications.
Establish and maintain official documents and records in organized files.
Respond to a broad range of inquiries from internal and external sources.
Manage and maintain the executive’s calendar accurately and keep it current.
Coordinate meetings, conferences, luncheons, and travel arrangements (including hotel reservations).
Ensure meeting details and logistics are completed efficiently.
Conduct outside research for projects as needed.
Prepare recurring and special reports and presentations by gathering, interpreting, and assembling data.
Proofread and edit materials for accuracy and clarity.
Provide confidential administrative and clerical support to the executive.
Receive, open, sort, prioritize, and respond to mail and correspondence on behalf of the executive.
Serve as recording secretary for committees, including scheduling meetings, distributing materials, and recording/transcribing minutes.
Requirements
High School diploma or equivalent GED.
5–7 years of office/clerical experience.
3–5 years of experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong knowledge of Copilot and related technology tools.
Excellent written and verbal communication skills.
Exceptional organizational and time management skills.
Ability to handle sensitive and confidential information with discretion.
Proven ability to prioritize tasks and meet deadlines.
