Summary

WelbeHealth serves vulnerable seniors and is seeking an Executive Assistant to provide high-level administrative coordination and logistics support. This role supports the CPO and the EVP, Corporate Strategy & Services, enabling effective communication, scheduling, and execution of executive priorities.

What you'll do

  • Provide executive-level administrative support to multiple executives.

  • Draft written communications as requested.

  • Coordinate calendars, scheduling, and meeting logistics.

  • Handle travel arrangements and expense processing.

  • Take, distribute, and maintain meeting minutes.

  • Plan and coordinate logistics for on-site tours and events.

  • Communicate with external stakeholders (e.g., vendors, elected officials, regulators, board members, quality improvement partners) on behalf of leadership.

  • Greet and interact with community partners and visitors in a courteous, welcoming manner.

  • Protect privacy and maintain confidentiality regarding company procedures and information about team members, participants, and families.

  • Complete required documentation accurately and on time.

  • Follow WelbeHealth policies and procedures and participate in required quality improvement activities, staff training, and meetings.

Requirements

  • Associate’s degree (or two (2) years of executive-level administrative experience in lieu of education).

  • Bachelor’s degree preferred.

  • Minimum five (5) years of experience supporting multiple executives as an Administrative Assistant or Executive Assistant.

  • Demonstrated Microsoft Office experience; high-level knowledge of PowerPoint required with Teams and SharePoint preferred.

  • Highly motivated, self-directed, proactive, and able to execute in a fast-changing environment.

  • Strong customer service orientation and ability to make sound decisions in emergency situations.

Conditions

  • Willingness and ability to work a varied schedule that may include evenings, nights, and weekends.

  • Must be willing to travel at least once per quarter.
