Executive Assistant
Summary
WelbeHealth serves vulnerable seniors and is seeking an Executive Assistant to provide high-level administrative coordination and logistics support. This role supports the CPO and the EVP, Corporate Strategy & Services, enabling effective communication, scheduling, and execution of executive priorities.
What you'll do
Provide executive-level administrative support to multiple executives.
Draft written communications as requested.
Coordinate calendars, scheduling, and meeting logistics.
Handle travel arrangements and expense processing.
Take, distribute, and maintain meeting minutes.
Plan and coordinate logistics for on-site tours and events.
Communicate with external stakeholders (e.g., vendors, elected officials, regulators, board members, quality improvement partners) on behalf of leadership.
Greet and interact with community partners and visitors in a courteous, welcoming manner.
Protect privacy and maintain confidentiality regarding company procedures and information about team members, participants, and families.
Complete required documentation accurately and on time.
Follow WelbeHealth policies and procedures and participate in required quality improvement activities, staff training, and meetings.
Requirements
Associate’s degree (or two (2) years of executive-level administrative experience in lieu of education).
Bachelor’s degree preferred.
Minimum five (5) years of experience supporting multiple executives as an Administrative Assistant or Executive Assistant.
Demonstrated Microsoft Office experience; high-level knowledge of PowerPoint required with Teams and SharePoint preferred.
Highly motivated, self-directed, proactive, and able to execute in a fast-changing environment.
Strong customer service orientation and ability to make sound decisions in emergency situations.
Conditions
Willingness and ability to work a varied schedule that may include evenings, nights, and weekends.
Must be willing to travel at least once per quarter.
