The Executive Assistant supports senior leadership in the San Francisco office by enabling smooth daily operations and helping executives stay focused on strategic priorities.

What you'll do

  • Manage complex calendars, scheduling, and meeting coordination for senior leaders
  • Coordinate travel arrangements, itineraries, and expense reporting
  • Prepare correspondence, presentations, and meeting materials
  • Serve as primary point of contact for internal and external stakeholders, ensuring timely and professional communication
  • Organize onsite and offsite meetings, events, and team activities
  • Track and follow up on action items to ensure deadlines are met and information flows smoothly
  • Support office operations including supplies management, facilities requests, and vendor coordination
  • Assist with special projects from conception through execution while handling multiple initiatives
  • Maintain confidentiality of sensitive information and exercise sound judgment
  • Anticipate needs, identify gaps, and implement solutions to improve operational efficiency

Requirements

  • Several years of experience supporting senior-level leaders in a dynamic environment
  • Strong organizational and prioritization skills with exceptional attention to detail
  • Excellent verbal and written communication skills
  • High level of professionalism, discretion, and sound judgment
  • Proficiency with productivity tools such as Microsoft Office and collaborative platforms
  • Ability to manage multiple priorities and adapt quickly to changing needs
  • Proven ability to build strong relationships and collaborate across teams
  • Self-starter who is resourceful, proactive, and solutions-oriented
  • Preferred: experience supporting executives in biotech, life sciences, or technology
  • Preferred: familiarity with project management tools/workflows
  • Preferred: experience coordinating cross-functional initiatives or events
  • Preferred: comfort navigating ambiguity and contributing to process improvements
