The Executive Assistant supports senior leadership in the San Francisco office by enabling smooth daily operations and helping executives stay focused on strategic priorities.
What you'll do
- Manage complex calendars, scheduling, and meeting coordination for senior leaders
- Coordinate travel arrangements, itineraries, and expense reporting
- Prepare correspondence, presentations, and meeting materials
- Serve as primary point of contact for internal and external stakeholders, ensuring timely and professional communication
- Organize onsite and offsite meetings, events, and team activities
- Track and follow up on action items to ensure deadlines are met and information flows smoothly
- Support office operations including supplies management, facilities requests, and vendor coordination
- Assist with special projects from conception through execution while handling multiple initiatives
- Maintain confidentiality of sensitive information and exercise sound judgment
- Anticipate needs, identify gaps, and implement solutions to improve operational efficiency
Requirements
- Several years of experience supporting senior-level leaders in a dynamic environment
- Strong organizational and prioritization skills with exceptional attention to detail
- Excellent verbal and written communication skills
- High level of professionalism, discretion, and sound judgment
- Proficiency with productivity tools such as Microsoft Office and collaborative platforms
- Ability to manage multiple priorities and adapt quickly to changing needs
- Proven ability to build strong relationships and collaborate across teams
- Self-starter who is resourceful, proactive, and solutions-oriented
- Preferred: experience supporting executives in biotech, life sciences, or technology
- Preferred: familiarity with project management tools/workflows
- Preferred: experience coordinating cross-functional initiatives or events
- Preferred: comfort navigating ambiguity and contributing to process improvements
