Summary

The National Basketball Players Association (NBPA) Foundation, a nonprofit established in 1997, supports communities worldwide through grants that amplify players’ philanthropy and charitable giving. The Executive Assistant supports the Executive Director by managing high-volume administrative operations and enabling smooth execution of mission-driven initiatives.

What you'll do

  • Support mission-driven initiatives and participate in strategic planning discussions to improve department effectiveness and impact.

  • Manage the Executive Director’s active calendar, correspondence, and day-to-day administrative needs.

  • Prepare and submit expense reports (Concur) and collect/organize receipts and invoices.

  • Arrange complex domestic and international travel, including itineraries and hotel accommodations.

  • Coordinate logistics for meetings involving the Executive Director (video conferencing setup, attendee management, catering, and materials preparation/distribution).

  • Draft or revise agendas, memoranda, correspondence, and other documents.

  • Assist with preparation of board documents.

  • Maintain accurate records, including filing systems and contacts databases.

  • Proactively balance competing priorities, escalate urgent matters, and research/solve complex issues.

  • Perform special projects and other duties as assigned.

Requirements

  • Bachelor’s degree.

  • 5+ years of experience supporting Senior/C-Level executives.

  • Proven ability to handle confidential information with discretion.

  • Proficiency with Microsoft Office Suite and Salesforce.

  • Experience coordinating multiple priorities, administrative operations, and logistics.

  • Excellent organizational, time-management, multi-tasking, and follow-up skills.

  • Strong written and verbal communication skills.

  • Foundation and/or nonprofit experience preferred.
