Executive Assistant
Summary
The National Basketball Players Association (NBPA) Foundation, a nonprofit established in 1997, supports communities worldwide through grants that amplify players’ philanthropy and charitable giving. The Executive Assistant supports the Executive Director by managing high-volume administrative operations and enabling smooth execution of mission-driven initiatives.
What you'll do
Support mission-driven initiatives and participate in strategic planning discussions to improve department effectiveness and impact.
Manage the Executive Director’s active calendar, correspondence, and day-to-day administrative needs.
Prepare and submit expense reports (Concur) and collect/organize receipts and invoices.
Arrange complex domestic and international travel, including itineraries and hotel accommodations.
Coordinate logistics for meetings involving the Executive Director (video conferencing setup, attendee management, catering, and materials preparation/distribution).
Draft or revise agendas, memoranda, correspondence, and other documents.
Assist with preparation of board documents.
Maintain accurate records, including filing systems and contacts databases.
Proactively balance competing priorities, escalate urgent matters, and research/solve complex issues.
Perform special projects and other duties as assigned.
Requirements
Bachelor’s degree.
5+ years of experience supporting Senior/C-Level executives.
Proven ability to handle confidential information with discretion.
Proficiency with Microsoft Office Suite and Salesforce.
Experience coordinating multiple priorities, administrative operations, and logistics.
Excellent organizational, time-management, multi-tasking, and follow-up skills.
Strong written and verbal communication skills.
Foundation and/or nonprofit experience preferred.
