Summary
Umbra is an American space technology company delivering advanced space systems across remote sensing, space systems, and mission solutions. The Executive Assistant will support the VP, Head of Communications, helping run day-to-day operations across Marketing, Communications, and Government Relations by managing priorities, coordination, and readiness of materials.
What you'll do
- Own and manage the VP’s complex calendar; align time to priorities across Marketing, Communications, and Government Relations.
- Manage scheduling requests, meeting logistics, and prioritization to maximize focus and efficiency.
- Prepare briefing materials, meeting agendas, and background documents for leadership meetings and external engagements.
- Manage incoming communications and requests; surface urgent matters quickly and route appropriately.
- Coordinate leadership meetings, staff meetings, and cross-functional working sessions.
- Track priorities, action items, and deliverables across the communications leadership team to ensure follow-through.
- Support planning and logistics for team initiatives, leadership offsites, and internal events; maintain awareness of major communications initiatives.
- Coordinate domestic and international travel including itineraries, briefing documents, and logistics for conferences, media engagements, and government meetings.
- Manage expense reporting and administrative processes related to travel and team activities.
- Assist with planning and logistics for internal/external communications events and leadership gatherings.
- Provide operational support for communications campaigns, internal announcements, and company-wide initiatives as needed.
- Maintain documentation, shared resources, and organizational tools; help improve internal processes to increase efficiency.
- Take on special projects supporting the VP and communications leadership team.
Requirements
- 5+ years of experience supporting senior executives in an executive assistant or administrative role in a fast-paced organization.
- Experience managing complex calendars, scheduling across multiple time zones, and prioritizing competing requests.
- Ability to coordinate domestic and international travel, including itineraries, expense reporting, and logistics.
- Proficiency with Microsoft Office or Google Workspace (especially PowerPoint and document preparation), plus SharePoint and organizational tools for task tracking/document management.
- High level of discretion and professionalism with sensitive information.
- Exceptional organizational and time-management skills with strong attention to detail.
- Strong written and verbal communication skills; able to interact effectively across teams and leadership levels.
- Preferred: experience supporting communications, marketing, or public affairs teams.
- Preferred: experience planning internal events, leadership offsites, or company gatherings.
- Preferred: comfort contributing to creative or communications-related projects; ability to anticipate needs and operate independently.
- Must meet U.S. employment eligibility verification (I-9) requirements.
- May require eligibility under U.S. export controls (ITAR/EAR), such as U.S. citizen/national, lawful permanent resident, refugee/asylee, or ability to obtain required authorizations.
Conditions
- Location: On-site role in Arlington, VA office.
- Compensation: $95,000–$115,000 per year (DOE).
