Summary
Novartis Norge is seeking a highly organized Virtual Assistant to provide administrative and operational support to the team. The role supports day-to-day coordination, communication, research, and reporting across remote work and occasional in-person store visits.
What you'll do
- Manage schedules, appointments, and communications for team members.
- Organize and coordinate virtual meetings and video calls.
- Prepare, format, and edit documents, reports, and presentations.
- Handle emails, inquiries, and client communications efficiently.
- Provide customer service via email, chat, or phone.
- Liaise with vendors and external partners as needed.
- Conduct research on various topics and compile relevant data.
- Update and maintain databases and spreadsheets.
- Organize and maintain digital files and records.
- Visit local stores (e.g., Walmart) for tasks such as product checks, inventory management, or mystery shopping.
- Create detailed reports and provide feedback from in-store visits.
- Support general administrative functions and ensure tasks meet deadlines.
- Use Microsoft Office, Google Suite, and communication platforms to complete work and stay connected with the team.
Requirements
Location: Must be based in the United States.
Communication: Strong written and verbal communication skills.
Technical: Proficiency with Microsoft Office Suite, Google Suite, and virtual assistant tools.
Organization: Excellent time management and multitasking abilities.
Experience: Administrative or virtual assistant experience is a plus but not required.
In-person capability: Ability to visit Walmart and other local stores as needed.
Equipment: Access to a personal computer and stable internet connection.
