Summary
WelbeHealth serves vulnerable seniors in its communities and is expanding its operations. The Executive Assistant supports senior leaders (CPO and EVP, Corporate Strategy & Services) by providing executive-level administrative coordination, scheduling, communications, and logistics support. The role helps ensure smooth collaboration between executives, internal teams, and external stakeholders.
What you'll do
- Provide executive-level administrative support to multiple executives.
- Draft written communications as requested.
- Coordinate calendars, schedules, and meeting logistics.
- Take, maintain, and distribute meeting minutes as needed.
- Arrange travel and manage related expenses.
- Plan and coordinate logistics for on-site tours and events.
- Communicate with external stakeholders (e.g., vendors, elected officials, regulators, board members, quality improvement partners) on behalf of leadership.
- Greet and interact with community partners and visitors in a warm, courteous manner.
- Protect privacy and maintain confidentiality regarding company procedures and information about team members, participants, and families.
- Complete required documentation accurately and on time.
- Follow company policies and procedures and participate in required quality improvement, training, and meetings.
Requirements
- Associate degree; two (2) years of executive-level administrative experience may substitute in lieu of education.
- Bachelor’s degree preferred.
- Minimum five (5) years of experience supporting multiple executives as an Administrative or Executive Assistant.
- Demonstrated Microsoft Office experience; high-level knowledge of PowerPoint, Teams, and SharePoint preferred.
- Highly motivated, self-directed, proactive, and able to execute in a fast-changing environment.
- Ability to make sound decisions in emergency situations.
- Strong customer service orientation.
- Willingness and ability to work a varied schedule including evenings, nights, and weekends.
- Willingness to travel at least once per quarter.
