Office Administration Assistant - Miami based
Summary
BlueCrest Capital Management is a private investment partnership with offices globally, including Miami. The Office Administration Assistant will serve as the first point of contact for visitors and a key liaison for internal stakeholders in the Miami office. The role supports office operations and may provide personal assistant coverage for senior executives as needed.
What you'll do
Conduct general office administration and reception/front desk duties.
Receive visitors, answer/screen/manage incoming phone calls, and set up video conferences/meetings.
Receive, sort, scan, and deliver mail.
Process invoices, payments, and expenses.
Arrange local and international couriers.
Manage security access passes for new hires and leavers; liaise with building security and building management.
Coordinate with contractors/cleaners and organize local vendors, parking arrangements, and office visits.
Track and order office supplies.
Provide ad-hoc administrative assistance to local staff.
When required, coordinate calendars, schedule meetings (including video conferences), arrange travel/accommodation, and provide additional daily assistance to senior executives.
Requirements
Previous experience as an Office Administration Assistant (financial services experience advantageous).
Excellent written and verbal English communication skills; Spanish fluency desirable.
Proficiency with Outlook Calendar, Word, PowerPoint, and Excel.
Ability to handle confidential documents with discretion and confidentiality.
Excellent interpersonal, organizational, and follow-up skills; strong time management.
Resourceful, proactive, assertive, detail-oriented, energetic, and self-motivated; able to work independently with minimal guidance.
Proven decision-making and problem-solving ability.
Flexibility to work outside business hours when required.
Conditions
Full-time position based in the Miami office.
Reports to the Head of Americas Technology (based in New York).
Expected to work with minimal guidance, manage urgent priorities, and maintain discretion/confidentiality.
May be required to provide Personal Assistant coverage for senior executives during periods of absence.
Flexibility to work outside of business hours when required.
