The Executive Assistant provides high-level strategic administrative and operational support to the Global General Counsel, enabling focus on priorities while ensuring smooth day-to-day operations in a complex global environment.
What you'll do
- Manage the Global General Counsel’s complex global calendar across time zones, prioritizing strategic, operational, and regulatory commitments.
- Anticipate and resolve scheduling conflicts independently.
- Coordinate global travel logistics including visas, itineraries, and expenses.
- Provide project management support for Legal and Compliance initiatives by tracking deliverables, timelines, and action items.
- Prepare, edit, and format presentations, reports, and briefing materials for executives, the Board, and external stakeholders.
- Support Board and committee meeting preparation, including agendas, materials, and follow-ups.
- Partner with Legal Operations, Compliance, and cross-functional teams to drive execution of key priorities.
- Act as a point of contact for internal and external stakeholders on behalf of the Global General Counsel.
- Draft and review professional communications while managing sensitive and confidential information.
- Use Microsoft 365 (Outlook, PowerPoint, Excel, Word, Teams) to streamline workflows and improve productivity.
- Use Copilot and other AI tools for content creation, meeting prep, summarization, and data analysis.
- Create visually engaging materials using Canva and related tools.
- Collaborate with other Executive Assistants and provide backup coverage as needed.
- Provide on-site support in the Costa Mesa office and other locations for executive meetings and team events.
- Share best practices and support onboarding/knowledge transfer for new leaders or team members.
Requirements
- Bachelor’s degree or equivalent experience.
- Minimum 5 years of experience supporting senior executives (C-suite or equivalent) in a fast-paced, complex organization.
- Project management experience.
- Proven experience managing executive calendars and logistics at a senior level.
- Advanced proficiency with Microsoft 365 (Outlook, PowerPoint, Excel, Word, Teams).
- Hands-on experience with Copilot and AI-enabled tools to improve efficiency and quality.
- Experience using Canva to create visually engaging presentations.
- Experience collaborating with and serving as backup for other Executive Assistants.
