Administrative Assistant - Remote
Summary
Katmai (promoted by Lensa) is seeking a Remote Administrative Assistant to support daily operations by coordinating healthcare scheduling and administrative workflows. The role focuses on ensuring a smooth patient experience through effective communication, accurate records, and compliance with privacy standards.
What you'll do
- Schedule, confirm, reschedule, and cancel patient medical appointments while notifying all parties promptly.
- Coordinate with third-party vendors, patients, and external partners to arrange appointments across locations and time zones.
- Maintain up-to-date calendars and prevent scheduling conflicts, including identifying nearest clinics within a 50-mile radius.
- Set reminders, prepare appointment authorizations, and proactively schedule follow-up visits.
- Follow up to obtain required medical clearances and certificates and track annual recertification renewals for compliance.
- Provide daily support for scheduling operations and workflow management.
- Prepare and organize medical documents, reports, and correspondence; maintain organized electronic filing systems.
- Ensure confidentiality and compliance with privacy regulations (e.g., HIPAA).
- Attend meetings and prepare weekly metrics, agendas, and meeting minutes.
- Use Microsoft 365 tools (Word, Excel, Teams, OneNote, Outlook, SharePoint) to support administrative work.
- Maintain regular and punctual attendance and complete additional administrative duties as assigned.
Requirements
- High school diploma or equivalent (Associate’s degree preferred).
- 1–3 years of experience in medical scheduling, healthcare administration, or a related role.
- Intermediate to advanced proficiency with Microsoft Office 365.
- Intermediate to advanced proficiency with EMR systems.
- Ability to obtain and maintain required security access and/or background checks.
- Strong organizational, time management, multitasking, and prioritization skills in a fast-paced environment.
- Strong written and verbal communication; proactive follow-through.
- High attention to detail and ability to handle sensitive information with discretion.
- Ability to maintain confidentiality and comply with HIPAA regulations.
- Comfort using virtual collaboration tools; remote/virtual work experience preferred.
- Self-discipline, accountability, and a customer service-oriented mindset.
Conditions
Schedule: Full-time; may be required to work additional hours as needed.
Location: Remote work expected; company reserves the right to require onsite work.
Travel/Driving: None.
Compensation: $19.12/hour plus H&W $4.57/hour up to 40 hours/week.
