Summary

The Administrative Assistant (Regional Administrator) supports daily operations for Market Leaders and appraisers by coordinating bid activity, job setup, client communications, and administrative processes to keep appraisal engagements moving efficiently.

What you'll do

  • Manage bidding activities on third-party bid boards and via email, including conflict/prior checks, obtaining fee quotes and timing, and coordinating appraiser assignment/experience.
  • Create and maintain a bidding job log to monitor fee quotes.
  • Generate engagement letters from templates or download client engagement letters from job boards and send introductory client emails.
  • Set up new job assignments in the V&A Job Management System by interpreting engagement letters and entering accurate job data; notify performing offices and appraisers.
  • Deliver appraisal reports and client invoices through uploads to client job boards.
  • Archive working files to shared drives and provide backup coverage for other regions as needed.
  • Order office supplies and business cards for employees.
  • Submit vendor invoices to Accounts Payable and assist Accounts Receivable by researching daily wire/ACH and check reports to identify client payments.
  • Process state and temporary appraisal license renewals by filing required paperwork.
  • Prepare and file expense reports for the Market Leader.
  • Organize client events such as meetings, trainings, and conferences.

Requirements

  • Education: High school diploma or GED.

  • Experience: 2–4 years of related work experience.

  • Technical: Proficiency in Microsoft Word, PowerPoint, Excel, and Outlook.

  • Skills: Strong proofreading and editing; effective verbal and written communication; excellent interpersonal skills.

  • Work style: Detail-oriented, able to take initiative and meet deadlines; able to maintain discretion regarding personnel and industry-related matters.
