Summary
Skin and Cancer Institute is seeking a Patient Care Coordinator (Front Office) to serve as the first point of contact for patients and visitors in a dermatology-focused clinic. The role supports smooth front desk operations by handling scheduling, insurance verification, payments, and administrative support while maintaining patient confidentiality and service standards.
What you'll do
- Check patients in and out according to customer service standards.
- Verify insurance coverage, including deductibles, copays, authorizations, and plan types (HMO/PPO, Medi-Cal HMO, Medicare vs Medicare Advantage).
- Collect patient payments, post copays in EMA, and balance/reconcile funds collected during the shift.
- Schedule and maintain appointment calendars; confirm appointments for providers, aestheticians, and RNs.
- Create and maintain patient charts and ensure demographics are complete to avoid claim rejections.
- Prepare superbills accurately and on time.
- Maintain HIPAA compliance and keep patient personal and financial information confidential.
- Identify payer details from insurance cards (payer ID/name/address), determine contracted payer status (Tax ID/NPI), and distinguish primary vs secondary insurance.
- Maintain a neat and orderly front office; manage inventory and place weekly orders as needed.
- Respond positively to changing conditions, multitask efficiently, and assist with other duties as assigned.
Requirements
- High school diploma or equivalent (required).
- 1–2 years of experience in a medical office or customer service role (preferred).
- Strong customer service and interpersonal skills; effective verbal and written communication.
- Ability to multitask, stay organized, and remain focused under pressure.
- Knowledge of insurance types and billing procedures (including HMO/PPO, Medi-Cal HMO authorization workflows, Medicare/Medicare Advantage, and military insurance requirements).
- Proficiency with Microsoft Office and EMA software.
- Familiarity with HIPAA regulations and ability to maintain confidentiality and professionalism.
- Additional training or certification in medical office administration (preferred).
