Executive Assistant
Summary
Dear Media is a leading podcast network focused on amplifying women’s voices and audiences. The Executive Assistant to the President supports senior leadership and the Talent & Business Development team by managing complex administrative workflows and enabling smooth day-to-day operations in a fast-paced media environment.
What you'll do
Provide high-level executive support to the President and the Talent & Business Development team, including complex calendar management, scheduling, meeting preparation, and call agendas/notes.
Compile and synthesize data, metrics, and insights to support strategic business decisions.
Manage expense reports and administrative documentation.
Track action items, follow up with stakeholders, and help ensure deadlines are met and projects move forward.
Maintain and update department materials such as decks, reports, trackers, and reference documents.
Prepare end-of-day summaries, next-day schedules, and priority briefs for the President.
Serve as a professional and discreet point of contact for executives, talent, and external partners.
Attend select events and support onsite logistics as needed; handle special assignments.
Oversee New York office operations: order supplies, maintain inventory, and coordinate vendor services.
Greet guests, talent, and partners; ensure meeting spaces are prepared and presentable.
Coordinate facilities needs, including maintenance scheduling, IT requests, and mail/package handling.
Support internal meetings, company events, and team-building activities.
Help maintain office organization, cleanliness, and a positive workplace environment.
Requirements
1–3 years of administrative or executive assistant experience in a related field (Talent Management, PR, Marketing, Entertainment, or Media).
Preferred: prior experience at a talent agency or similar fast-paced environment.
Exceptional written, verbal, and presentation communication skills.
Strong interpersonal skills and ability to work effectively with diverse personalities and working styles.
Ability to manage high-volume workloads, juggle multiple deadlines, and stay organized in a fast-paced environment.
High discretion, professionalism, and comfort handling confidential information.
Proactive, detail-oriented, resourceful, and solutions-driven mindset.
Interest in podcasting, influencer marketing, digital media, and the creator economy.
Conditions
In-office presence required 4–5 days per week (New York office).
