Administrative Assistant
Summary
Leidos is seeking a Program Management Administrative Assistant to support the Exploration, Environment and Earth Intelligence (E3) Division, including direct support to the Vice President/Division Manager and the PMO. The role provides administrative, logistical, and coordination support to help ensure efficient execution of division and program activities.
What you'll do
- Coordinate division activities and internal/external meetings at all levels, including executive meetings.
- Manage leadership calendars and inboxes to support program and division goals.
- Coordinate and manage leadership travel activities.
- Schedule venues and participants for monthly/quarterly program reviews, conferences, and other events.
- Prepare, organize, and distribute meeting materials; capture, archive, and track meeting notes and action items.
- Communicate with internal and external stakeholders via email, phone, and in person to support program decisions.
- Coordinate inputs and prepare reports/presentations; ensure timely delivery of weekly/monthly reporting materials.
- Maintain logs, trackers, and reports related to program activities and projects.
- Organize, publish, and archive program artifacts for stakeholder access; support records management.
- Support local employee and community engagement activities, including provisioning and event logistics.
- Conduct inventories and order office supplies as needed.
- Support division knowledge management, including use of AI-enabled dashboards for action-item tracking and critical projects.
- Serve as a primary point of contact to connect new employees with appropriate resources.
Requirements
High School diploma or equivalent.
At least 4 years of experience in an administrative, project support, or program coordination role (preferably in a program management/PMO environment supporting senior leaders).
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Excellent attention to detail and accuracy in scheduling, documentation, and data tracking.
Proficiency with Microsoft Office tools including MS Teams, MS Forms, Word, PowerPoint, Excel, and SharePoint.
Experience with records/document management systems (e.g., SharePoint, OneDrive, Teams) or ability to learn quickly.
Strong written and verbal communication skills; ability to capture concise meeting notes and action items.
Ability to coordinate meeting and event logistics, including deconflicting calendars and ensuring correct attendance.
Competence maintaining trackers, logs, and reports.
Ability to organize, publish, and archive documents in a structured, accessible way.
Customer service mindset; welcoming point of contact for new and existing staff.
High professionalism, discretion, confidentiality, reliability, adaptability, collaboration, and ownership.
Comfort navigating electronic systems and virtual service platforms.
Ability to work well with limited supervision.
Conditions
Work arrangement: Remote.
Compensation range provided: $41,600 to $75,200 annually (converted to an approximate monthly figure in the salary field).
