Summary

A globally recognized investment management firm overseeing approximately $90B in assets is hiring an Executive Assistant in Midtown Manhattan. The role provides dedicated, high-exposure support to senior leadership within a fast-moving investment platform, ensuring seamless operations through proactive coordination and absolute confidentiality.

What you'll do

  • Oversee complex, high-volume calendars for multiple senior leaders and coordinate meetings across time zones.
  • Proactively manage scheduling conflicts, shifting priorities, and daily planning needs.
  • Arrange domestic and international travel (commercial and private aviation), including hotels, ground transportation, visas, and detailed itineraries.
  • Prepare executives with confirmations, briefing materials, and contingency plans.
  • Prepare, submit, and reconcile detailed expense reports and monitor corporate credit card activity for accuracy and compliance.
  • Coordinate board meetings, investor calls, client engagements, and high-profile events; manage on-site logistics and presentation materials.
  • Act as gatekeeper and trusted liaison; draft, edit, and manage professional correspondence with internal and external stakeholders.
  • Support special projects and strategic initiatives and provide hands-on in-office operational support.

Requirements

  • 5+ years of experience supporting C-level or senior executives, preferably in investment management, private equity, hedge funds, or financial services.
  • Expertise in complex scheduling and international travel coordination.
  • Impeccable attention to detail and strong follow-through.
  • Strong business writing and communication skills.
  • High discretion and emotional intelligence; ability to stay composed and solutions-oriented under pressure.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Bachelor’s degree preferred.

Conditions

  • Location: On-site, 5 days/week.
  • Compensation: Base salary $115,000–$130,000 plus discretionary bonus.
